This guide is designed to introduce to the All User Profiles report available in Talis Aspire Reading List.
Introduction
The All User Profiles Report displays all the user profiles in your tenancy. The report can be accessed from the Reports tab
Access to these reports are managed via a permission, so you can request that this permission is on any role you choose, see What is a role and what is a permission?
If you have this permission already the report tab will show on your home screen when you are logged in.
The All User Profiles Report displays all the user profiles in your tenancy. The report can be accessed from the Reports tab All users that have a profile, allowing filtering by job role (as chosen by the user in their profile) and Talis Aspire role, and whether the profile is private or public. By clicking on the surname, system admins can click through to the user profile in order to revoke a role or see what permissions a user currently has.
Why use this report?
This report can be used to understand the profile of users in your tenancy.
- Identify users by job role: use the Job Role filter by Job Role
- Identify public or private profiles: when the ability to search by list owner is introduced, it will be difficult to find lists owned by users with private profiles. Understanding who these users are may be important.
- Identify Aspire Roles: the “Aspire roles” filter will help you to identify users who have the specific Aspire roles, this will be useful if you need to check which role one or more users have got.
Report Filters
Name: allows a text search of the surname using the controls “Contains”, “Exact”, “Starts with” and “Ends with”
Job Role: allows the report to be filtered by whether a job role has been specified (Yes) or not (No)
Aspire Role: allows the report to be filtered by the roles granted in Tais Aspire Reading List
Profile is: allows the report to be filtered by the visibility of the user profile i.e. Public or Private
From Last Login Date & To Last Login Date: allows the report to be filtered by the date the user last logged into the system. The From and To filters can be used individually to specify all users who have logged in after a given date or before a given date. Alternatively, both date filters can be used to specify a date range.
What’s exported to CSV?
By exporting to CSV (comma separated values) the data can be read by a number of software programmes so that the data can be manipulated further, through sorting, filtering and queries. Columns included in the exported report are:
- First name
- Surname
- Name
- User Profile Link
- Job role
- Profile is... (Public or private)
- Aspire role
- Last login
- Saml User ID
- Talis Global User ID
How up to date are the reports?
Real-time data, as soon as you make a change the reports reflect the data.
TOP TIP
Regularly running the same report and have to set the filter each time?
Bookmark or save to favourites in your browser the report screen with the filters set, access via the bookmarked or favourite link then log in, filters are retained. If using different date ranges each time these will still have to be set manually.
