New releases and fixes for Talis Aspire
Release Update - 29th November 2024
New Feature
We have released a new alert for academics when they are editing lists but don’t currently have the Talis Bookmarking extension installed, to inform them of the extension and prompt them to install it. Academics who already have the extension installed will not see the alert. Additionally, if a user clicks Dismiss, the alert will not reappear for four months.

Improvement
We're pleased to announce that we now have the Talis Aspire bookmarking extension available in the Edge Add-ons store. Previously, there was no native Edge extension and users had to install it via the Chrome store.
We have updated our documentation on this support article to guide users on how to install the extension in Microsoft Edge. This work was completed as part of our recent upgrade to the extension which you can read more about in our FAQ's here.

New Feature
Mandatory importances for your Talis Aspire tenancy are now available. Please see more information in this support article. Some basic information follows:
- When an instructor bookmarks and adds a new resource to a list, they will have to select an importance before they can add it to the list. A blank "no importance" field is displayed as default.
- If an instructor has not yet set importances for specific items on a reading list, and they try to publish or send the list for review, they will see this message:
Currently you will need to raise a support ticket so that our Operations Team can enable this feature for you. It can also be revoked if required.

We have made improvements to the metadata captured via our Primo and Worldcat discovery integrations. Additional authors, volume and place of publication should now be included in the metadata when adding a resource via the Primo discovery integration. Edition should now be captured as part of the metadata when adding a resource via the Worldcat discovery integration.

The updated bookmarking extension for Chrome has been released today, with other browsers to follow over the coming days. Users will not need to take any action to enable the upgrade, although it may not occur for a few days due to the rolling nature of Chrome releases. New Feature
Reading Lists can now be exported into a Word doc by all users. You'll find this option under the 'View & Export' menu at the top of each list. The exported file is formatted in the same way as the existing 'PDF - List' export, so also contains a QR code which can be scanned to take users to the online version.

We have made some changes to the appearance of the bookmarking screen. The bookmarking screen appears whenever someone creates a new bookmark (either via the extension or via the manual option), as well as when anyone edits the metadata of an existing bookmark.
These changes were made to make this screen more accessible and provide a consistent look and feel with other parts of the system. We have updated the VPAT on our Web Accessibility Statement as this release addresses a number of the necessary improvements that we had previously identified. You can see the new look in the screenshot below:

New Feature
We've added a new feature which has long been requested by our users. When editing a list, users will now always have a reminder on screen that they need to publish any edits that they've made, and access to a button to allow them to do so quickly. An example of how this appears is below:

Following feedback from users, we've now added the ability for users to add an internal note to a list. This note will be visible in the List edit view (but not in the student view). To add a note, users simply need to click on Edit List Details and enter a message in the new Internal note box (see screenshot below).
The same field will appear when someone creates a new list, and will also be visible in the Reviews list summary pane.

We've made a change to the Report Broken Link feature in Talis Aspire. Many of you had told us that while you appreciated the feature, many users weren't leaving their contact details or a description of the issue they'd had, so it was often difficult to troubleshoot the problem. We've now updated this so that where a student has logged into their profile, they are encouraged to add some detail about the issue, and their contact details are sent by default, although they still have the option to report anonymously if they wish. The updated 'Report Broken Link' popup can be seen below.

We've added a new feature for Universities using Talis Aspire Copyright Clearance / our DCS integration. On the request screen library staff can now add an internal message, providing useful context for other library colleagues who may be involved in processing the request. This is not visible to any academic who may have made the request.
You can find the new feature to the left of the screen, just click 'Edit' to add / update a note, and 'Save' when you're done, as shown in the screenshots below:

We have improved the invite process. When users without an Aspire profile receive an invite to be a List Publisher, the link in that email will first take the user to creating a profile, and after that immediately redirect to accepting the invite. Previously, the link took them to creating a profile, but not to accept the invite.

We've also made a new release to update the Reviews homepage. You'll now see the time period of a list next to its title to help you prioritise which lists need looking at. We've also added a new filter to the screen so that you can quickly focus on lists in an individual time period if required. Both new features are highlighted in the screenshot below:

We have released two new enhancements for the Reviews interface:
1. Alerts against individual items have been made more granular, and are now represented by different icons, so that it is clear at-a-glance what has changed and needs attention. The icons are:
The icons are surfaced in two areas: in the left hand panel of a Review, and at the top of the right-hand item view, as demonstrated by the screenshot below. We will also shortly be using the icons to replace the pink triangles you currently see next to an updated item.
We have also updated the New Item Outcome, and when an Outcome is set against an item this is clearly indicated in the left hand panel so that users can view at a glance which items have already been dealt with:
2. Reviewers can now change the importance of items directly within the Reviews interface, without needing to visit the list itself. You can do this simply by using the new 'Edit' button which is now available in the Reviews area.

As a continuation of our improvements to the Reviews area of Talis Aspire, we have released two additional updates:
1. You can now request a digitisation for resources directly from the Reviews view.
2. You will be able to check links associated with an e-resource’s “View Online” button.
Request Digitisation
For this feature, if you use either Talis Aspire Copyright Clearance or our DCS integration, then here is what you can expect to see next to item types that are eligible for digitising:
Upon clicking on the “Request digitisation” button, the Digitisation request page will open in a new tab:
Just as with requesting a digitisation directly from the list, we will pre-populate the form as far as possible with details about the item and the course it relates to. Once the request has been submitted and the tab closed, the 'Request digitisation' button will disappear from the item so that multiple requests can't accidentally be submitted.
Library Availability Links Check (Online Resources)
For the second new feature, this is what you can expect to see at the bottom of items that appear in the Resource Info tab:
All links associated with an online resource will appear in this area of Reviews. You will see four columns: “Name”, “Link”, “View online button”, and “Proxied?”.
- The “Name” refers to the link type – whether it is a Web address, DOI, or OpenURL.
- The Link will show you the URL or the OpenURL path.
- “View online button” will produce a check mark for the link used for the View Online button visible on reading lists, or an “x” if the link is not currently in use.
- “Proxied?” will tell you whether or not the URL is fed through your institution’s proxy service, indicated with a “Yes” or “No”. Where the answer is "Yes", clicking on this will apply the proxy and so replicate the link which the student follows.

We've made a new release allowing library users to set outcomes against multiple list items when reviewing lists. Previously users could only add an outcome to single items, which could be time-consuming when reviewing lengthy lists. You now have the option to select multiple items from the list of reading list items, and apply a bulk outcome against all of them.

Today we're pleased to announce that we've made a new release affecting the order of list items as they are displayed in the Reviews interface. Until now you've only been able to view them with the most recently added items at the top; following user feedback, we are now also giving you the option to display list items in the same order as they appear on the list itself. The screenshot below shows you where this toggle is located.
Once selected, if you should choose to use filters to drill down to items of interest, your chosen order will persist.

Today saw the release of the first part of our self-serve project, putting control of Talis Aspire settings directly into the hands of users. System Administrators now have the ability to control the Importances, Language options and Branding associated with their Talis Aspire tenancy. We've made a new release affecting the Reviews area. The Book Supplier information for each list item has now been broken into a separate tab; this change came about after feedback from users that there was too much scrolling involved when reviewing book items, particularly if the item in question had multiple versions available from your various suppliers. Now users can easily switch between the 'Resource info' and 'Suppliers' tabs when making a decision about an individual item.

Users who add Paragraphs to their lists are now able to insert clickable URLs into their text. When you're writing a paragraph, simply include a URL or email address you want to link to:
Once the paragraph is saved, those URLs will automatically convert to links that a user can click:

For all items where no 'View Online' button is displayed, the system will now display a 'View Availability' button in that space. This release was made to address concerns that users may not realise that clicking on an item title will expand a list item, so the new 'View Availability' button will replicate that behaviour.

Library staff now have the ability to edit student / library notes directly in Reviews. Some institutions have workflows which entail library staff editing these notes, and had previously told us that when they see student and library notes in the reviews section they could not edit them at that point; instead users needed to go into the list edit mode in another tab to make appropriate changes. Notes may now be created, edited, or deleted from directly within the Reviews interface.

Release Update - 13th March 2023
New Feature
We have made a change to the My Bookmarks page in Talis Aspire. The 'Install Bookmark Button' has been replaced with an 'Install Bookmarking Extension' button which launches a guide instructing users on how to install the bookmarking extension. This includes a video and a link to the browser extension installation page. If the user communicates that they are unable to install the extension, they will be guided on how to install the older bookmarklet plugin.
As we have communicated in the past, Talis continues to support both the bookmarklet plugin and the bookmarking extension. However, due to the increased use of Content Security Policy (CSP) which blocks the use of Javascript-based bookmarklets, we are finding that the bookmarking extension is a more reliable bookmarking method.

Previously during list reviews an outcome could be set on a resource and a comment added, but when the library exported the CSV to manage their reviews the comment was not included. We've now added that field to the export so that there's no need to refer back to the Review to understand the context for the decision.

Previously only the staff@ attribute from an institution's IDP allowed users to be recognised as staff when implementing Automatic Profile. We have now updated Talis Aspire so that faculty@ or employee@ can also be used to implement this feature, as these values are more widely used in other territories.

This means that vital library resource is sometimes tied up delivering 1-2-1 support during a busy period. Objectives of the onboarding guides:
- To help academics and faculty to self-start in Talis Aspire so they require less training, including refreshers and guidance from Library and Academic Liaison.
- Encourage best practices to improve the structure and annotations of reading lists to support students based on student feedback on what makes a good reading list.

Enabling Enhanced Supplier Integrations with GOBI and Browns Books
Our goal with this addition to Talis Aspire is to enable our library acquisitions practitioners to make acquisitions decisions quickly, accurately, and efficiently by providing as much of the information necessary to make their acquisitions decisions from within Talis Aspire.
Specifically, users should be able to access the following information as part of the acquisitions decision making workflows in Talis Aspire:
- Determine availability of an item at one or more suppliers
- Determine availability of other formats at one or more suppliers
- Determine e-availability at one or more suppliers
- Determine Customer specific pricing for items at one or more suppliers
- See detail on currently held subscriptions or holdings
GOBI is the first of our integrations to offer the information as an aggregated service, meaning they can also show licence from a wider range of collections and ebooks direct from the publisher.
Browns Books is a UK Supplier who have recently taken over from Askews & Holts for Higher Education provision.
In addition we improved the interface and usability

List Details
- List Status: allows the report to be filtered by the status of the list ie Published, Draft or Archived
- List Title: allows the report to focus on a certain list or lists that contain a common title keyword
- Time period: a multi-select filter that allows the report to be filtered by one or more time periods defined in the tenancy
Date ranges
- From Date Added & To Date Added: allows the report to be filtered by the date the item was created. The From and To filters can be used individually to specify all items created after a given date or before a given date. Alternatively, both date filters can be used to specify a date range.
- From Last Published Date & To Last Published Date: allows the report to be filtered by the date the list to which the item is linked was published. The From and To filters can be used individually to specify all items whose list was published after a given date or before a given date. Alternatively, both date filters can be used to specify a date range.
Item details
- Resource Type: allows the report to be filtered by the item type e.g. Books
- In the library catalogue?: allows the report to be filtered by whether the item is in the library catalogue (has a Local Control Number - LCN) - Yes/No
- Importance: a multi-select filter that allows the report to be filtered by one or more Importance settings, the values displayed here will be reflective of the terminology chosen by you during implementation
- Title: allows you to search the Title field in the report, so you can pull all uses of a specific Book, or Journal; when combined with other filters you (eg published lists, this year's lists) this can be a very useful feature
- Author(s): allows you to search the author field of items; when titles are common, additionally filtering by author may narrow the search
- Local Control Number (LCN): allows you to pinpoint a specific LCN across all lists, or filtered as required
- ISBN-10: allows you to pinpoint a specific ISBN across all lists, or filtered as required
- ISBN-13: allows you to pinpoint a specific ISBN across all lists, or filtered as required
- ISSN: allows you to pinpoint a specific ISSN (Journal/Serial identifier) across all lists, or filtered as required
- DOI: allows you to pinpoint a specific DOI (Digital object identifier) across all lists, or filtered as required
- URL Prefix: when a web address has a common prefix, often related to the platform or supplier interface, you can search these amongst your resources
- Online Resource Source: allows you to see which link has been selected for the View Online button link in List View - DOI, OpenURL or Web Address
- Has Digitisation (Search by Request ID): if you have Talis Aspire Copyright Clearance you can identify list items by a specific Request ID, or search for items where no digitisation is present
- Digitisation status: if you have Talis Aspire Copyright Clearance you can identify the status of attached requests, for example those that have expired and may require renewal
- Note for Student: you may use common keywords in these notes that may be temporary, these can be identified for action
- Note for library: you may use common keywords in these notes that signal action needs to be taken, such as 'digitise'

[Talis Aspire Copyright Clearance for APAC] We’re excited to announce the release of a much-anticipated feature for users of Talis Aspire Copyright Clearance - Shared Vaults for Australia and New Zealand. This feature allows your institution to review and use PDFs that have been created and uploaded by other institutions using Talis Aspire Copyright Clearance in Australia and New Zealand. Note these vaults are separate for each region, so New Zealand universities are only sharing within New Zealand, and Australian universities within Australia.

[List Integrations report] We a pleased to share that we have now released a fix so that when the List Integrations report has been used to turn off the Perlego integration on a specific list/s, Perlego does not show on the list. Previously, if you had used the List Integrations report to turn off Perlego on a list, Perlego options were still displaying. Note that this was specifically when the Perlego integration option had been selected as Off from the Integrations report, overriding your tenancy default integration setting.

We are happy to announce that we have resolved the issue relating to the View Online button and Link resolver/OpenURL links for Chapter bookmarks. Now when you select to use the OpenURL as the "link to" option for a Chapter bookmark, the View Online button will appear on your list item. OpenURLs are generated using the link base you have provided to Talis, and the metadata contained within the bookmark, looking to match the item with your online holdings.

[Canadian customers] When a reading list is associated with a time period that has either not yet started or has already concluded, a banner is presented on the list notifying staff and students of this information. Based on feedback we have received from our Canadian community on the format/ordering of the date within this message, we have now updated this format for Canadian tenancies to be YYYY-MM-DD in line with the ISO standard international date format.
Example message: This list relates to the term Academic Year 2021/22 which does not start until 2021-09-01

Talis Aspire Copyright Clearance can now fully support the workflows of the CLA and ICLA COVID-19 Relaxations. Talis has prioritised this development to support this change in the ruleset. Following an evaluation of the value to our users in these unprecedented times, we felt that this is a valuable temporary addition to the service.
The change consists of the extent override option in addition to the normal workflow:
- Override extent up to 20% or 2 Chapters (whichever is the greater)
- NOTE: To apply the 20% or 2 Chapters, the publisher must be on the participating list.
- Please do take time to remind yourself of the conditions - https://cla.co.uk/HE-licence-terms-amended-covid19 or https://www.icla.ie/he/ as you are manually overriding with your own judgement in light of the relaxations.
If you have had the need to use the relaxation prior to the full workflow being in place please do use Replace Request, so that we can now track and send the data monthly to the CLA on your behalf.
