Implementing Talis Aspire Digitised Content (TADC) is a tried and trusted process. This article explains that process.
Introduction
This article is designed to guide you step by step through the Talis Aspire Digitised Content (TADC) implementation process.
Project modes
TADC can either be implemented alongside your Talis Aspire Reading Lists (TARL) tenancy, or as a standalone product.
Implementing Talis Aspire Digitised Content at the same time as Talis Aspire Reading Lists
Both Talis Aspire Reading Lists (TARL) and Talis Aspire Digitised Content (TADC) will have been discussed during the implementation kick off webinar. Post this webinar the Services Team will work to get both your TARL and TADC tenancies set up, working first on your TARL tenancy. Once the TADC tenancy is set up and tested we will arrange a webinar to demonstrate and handover this over to you.
Standalone Talis Aspire Digitised Content
We are currently working with a customer to pilot TADC without having TARL - we will update this article based on the lessons learnt from the pilot.
Project Structure
We will run two webinars for all involved in the TADC Project at your University.
- The first webinar will introduce the core concepts of the TADC and how it integrates with TARL. This gives us an opportunity to speak with your project team members and, for those new to Talis, introduce our Services Team who will support your implementation and rollout. This webinar will also help Talis understand your current digitisation process and discuss things you may wish to think about when introducing a new system.
- We will then book a second webinar to demonstrate and handover the TADC tenancy. This is normally 7-10 days after the first webinar.
After The Second Handover Webinar
There are now a number of things that the project team will need to do:
1. Set yourself up as a 'seed' user for Talis Aspire Digitised Content
- Go to your TADC tenancy - the url will be provided to you and will look like
http://content.talisaspire.com/<universityshortcode>.
You will be asked to fill in your first name, surname and email address. - Let your Talis Services Team project manager know that this has been done.
- The Services Team project manager will verify your user account and then complete the set up.
- After this point you will be able to login to Talis Aspire Reading Lists (TARL) and see the ‘Request Digitisation’ option against items on a reading list so that you can start making requests.
2. Go and have a play:
- Once you're confirmed as a ‘seed’ user, login to Talis Aspire Reading Lists
- Set up a test list and keep it in draft - by keeping it in draft no one can see it.
- Add physical books and articles to the test list.
- Edit the list. Against a physical item you should see ‘Request Digitisation’.
- Click this link and complete the ‘Request Digitisation’ form (this is you acting as an academic or lecturer) then click 'Submit'.
- Login to your Talis Aspire Digitised Content (TADC) tenancy
- Now in TADC, review the Copyright Clearance checks for the request by clicking ‘Requests’ (top bar), selecting ‘All requests’ then 'Actions' (next to the item) and ‘View Details’.
- Take the action required to clear the item (most likely to be uploading the pdf, but this message will vary based on the outcome of the concierge checks)
- Go back to your test list in TARL but don’t edit.
- You should now see the item you requested has ‘online resource’ next to it.
- Beyond the first few tests, play with and test the system - work to test how the Copyright Clearance ruleset works, and let the Services Team project manager know if you have any questions.
3. Explore settings
Check out your settings by going to ‘Admin’ and then selecting ‘Settings’ - you can tweak these inline with the processes and workflows that your University might need.
4. Explore the Dictionary
Consider going to ‘Admin’ and look at the ‘Dictionary’ - tweak these to see how they work
5. Set up other users
It’s no fun playing with copyright on your own! Find out how to set up other users to allow them to create and process digitised content.
6. Start creating requests!
There are two options for loading content into your TADC tenancy:
- You can manually load requests into TADC - there is no charge for this option.
- Talis can provide a Data Import service. Typically you would prepare a test file of 100 items that Talis would look to load for you to review. Once this is cleared we would then do a full data import for you. This option is consultancy - a quote can be sent to you if required. Ask your Talis project manager for more information.
