This guide is designed to introduce to the All Reviews report available in Talis Aspire Reading List.
The All Reviews report displays all reviews that have been requested, started, completed, and archived across your tenancy. The report is not a distinct list, therefore a review may appear several times dependent on the number of times the list has been reviewed. The report can then be refined using the available filters.
Access to these reports are managed via a permission, so you can request that this permission is on any role you choose, see What is a role and what is a permission?
If you have this permission already the report tab will show on your home screen when you are logged in.
This report has great versatility, allowing reporting with filters for Review Status, whether it is in a published or archived state, if linked to the hierarchy, or for a given time period plus date range filters. An example use could be wanting to know how many reviews have you completed within an academic year, you can filter by the dates requested by to completed by.
Why use this report?
This report can be used to understand the number of reviews being requested and how long they are taking to complete and will help identify the key busier times of the year.
- Identify all requested reviews in your tenancy: Set the “Review status” filter to Requested, to display all the reviews that have not yet been started.
- Identify all started reviews where the lists are already published: Set the "Review status" filter to Started and the "List status" to Published, to display all the reviews currently being worked on that have been published.
- Identify all lists that have been completed this academic year: Set the "Review status" filter to Completed, and the "From Review Completed" to 1st September and the "To Review Completed" to 31st August, to see all the reviews that have completed in that time period.
List owner: allows a text search of the List Owner’s surname or email address using the controls “Contains”, “Exact”, “Starts with”, “Ends with”, “Is empty” and “Is not empty”. Note: This field contains the email address of the list owner so it is important to search using the surname.
List status: allows selection of lists that are Archived, Draft, Published and Published with Unpublished Changes, or a combination of multiple values chosen.
Linked To: allows a text search of the hierarchy node to which a list may be linked using the controls “Contains”, “Exact”, “Starts with”, “Ends with”, “Is empty” and “Is not empty”.
Review status: allows you to search by Requested, Started, Completed or Archived reviews.
From review requested & To review requested: allows the report to be filtered by the date the review was requested. The From and To filters can be used individually to specify all reviews requested after a given date or before a given date. Alternatively, both date filters can be used to specify a date range.
From review completed & To review completed: allows the report to be filtered by the date the review was completed. The From and To filters can be used individually to specify all reviews that were completed after a given date or before a given date. Alternatively, both date filters can be used to specify a date range.
What’s export to CSV?
By exporting to CSV (comma separated values) the data can be read by a number of software programmes so that the data can be manipulated further, through sorting, filtering and queries.
How up to date are the reports?
Real-time data, as soon as you make a change, the reports reflect the data.
Regularly running the same report and have to set the filter each time?
Bookmark or save to favourites in your browser the report screen with the filters set, access via the bookmarked or favourite link then log in, filters are retained. If using different date ranges each time these will still have to be set manually.
